FIRST APPOINTMENT DEPOSIT:

It is our policy to take a $25.00 deposit to hold a patient’s initial appointment. This will only apply to your first appointment with The Nexus Group. This deposit will apply towards any deductibles or copays that you may owe for that first appointment. If you fail to show for the initial appointment or cancel less than 48 business hours prior to that appointment as outlined below your deposit will go towards the $300 cancellation fee assessed for missed or canceled new patient appointments. Please see the cancellation policy for more information.


CANCELLATION AND NO-SHOW POLICY

Once your appointment is scheduled, you will be expected to pay the full professional fee unless you provide advance notice via telephone as this is the only acceptable way to alert us of a cancellation. Please see details of “advance notice” requirements below.

For our part, we will make every effort to provide you with adequate notice if your provider will be unavailable for a scheduled appointment and will work to reschedule your appointment in a timely fashion.


ADVANCED NOTICE

For all appointments, notice of cancellation must be received at least TWO business days in advance at the same hour of the appointment or earlier or you will be assessed the relevant fee outlined herein.  

Please remember that business hours are considered weekdays from Monday through Friday between 8:00 am and 5:00 pm and exclude all United States Federal Holidays. For example, if your appointment is on a Monday, the cancellation must be made before or by the same hour as the appointment on the preceding Thursday.

Initial appointments/evaluations must have a signed and completed treatment consent submitted TWO business days in advance at the same hour of the appointment or earlier or the appointment will be canceled and the full no-show fee will be charged as outlined above.


CANCELLATION/NO-SHOW FEES

For new appointments, there is a fee of $300 for late cancellations. The fee of $300 will also be charged for missed scheduled psychiatric/psychological consultations and any intake where you arrive more than 15 minutes late. This fee is not covered by insurance and cannot be submitted for insurance reimbursement. The $25 deposit to reserve the initial consultation will be applied to the $300 fee.

For follow-up appointments, there is
a fee of $150 for late cancellations. The fee of $150 will also be charged for missed scheduled follow-up appointments and any appointments where you arrive more than 15 minutes late to the session. This fee is not covered by insurance and cannot be submitted for insurance reimbursement. 


NO-SHOWS AND REPEATED CANCELLATIONS

Your psychiatric/psychological evaluation is taken very seriously as ample time is set aside to get to know you, answer questions and discuss treatment options. If you do not come in for a scheduled first appointment, you will likely not be able to reschedule as you have taken valuable time that might have been used for another patient to receive care. You will thus need to find care through another mental health provider. Our zero-tolerance policy for missing your first appointment is one that respects both the provider’s and all of our patients’ needs equally.

In fairness to other patients and in order to provide safe treatment to engaged patients who are most likely to benefit, repeated no-shows or late cancellations may be cause to discontinue treatment at our clinic.


MEDICARE/ MEDICAID

The Nexus Group does not participate in Medicare or Medicaid. You cannot submit any bills from The Nexus Group to Medicare/Medicaid. You also cannot submit for reimbursement of co-payments if Medicare/Medicaid is your/your child’s secondary insurance.  


MEDICATION REFILLS

Before contacting the clinic, please call the pharmacy directly to ensure that you do not have any additional refills on file, possibly under a different prescription. Please ask the pharmacy "are there any prescriptions under my name?" as many pharmacies utilize multiple computer systems to determine if you have any prescriptions on file. We do not respond to pharmacy-generated automated refill requests.  If you require additional medication before your next appointment, please contact the clinic as soon as possible.

It may take up to five (05) business days to generate your script and you must have a follow-up appointment scheduled; please do not expect that the medication will be filled on the same day as the request. Certain medications cannot be prescribed electronically or via telephone and must be picked up at The Nexus Group directly. 

For all medication refills made without a scheduled followup appointment or made after a follow-up appointment was canceled/changed, there will be a $30.00 charge to prescribe the refill.
